Update Release Notes

Here at Dapian, we are constantly working to make updates and improvements to the software. For more information about the latest versions, please see below.

March 2023

  • We’ve changed case level references of ‘DPIA’ to ‘Project’ to align with the expanding range of forms e.g. Data Ethics and International Transfer Forms available within Dapian. 

    The update includes changes to menu titles and buttons as well as references in role descriptions and dash boarding. 

    We’ve also:

    • Added banners to task history to classify any changes into additions, deletions and modifications.

    • Updated CCTV DPIA overall risk calculation field to be read only. 

     

  • Fixed a bug in the CCTV DPIA form where in some instances on re-editing the form the original contents were not visible. 

  • Fixed a bug which prevented new sections from being edited in some form arrays. 

  • Fixed a bug with available forms which meant the Full DPIA form wasn’t editable

  • Fixed a bug with available forms which meant the suggested risks in the Full DPIA form weren’t displayed properly 

August 2022

We’ve added a new standalone ‘Export Data’ feature, to support with analysis and reporting, which is available to users with admin role access in the left hand menu. This allows users to download all case and task data in either csv or json format.

  • Updated dashboarding and some task and DPIA views, so trash status DPIAs and related tasks are not shown or included in dashboard statistics. Trash DPIAs and related tasks are still available in the Search DPIA and Search Task views.

We’ve made updates to both the CCTV DPIA and International Transfer Forms to bring them inline with updates to legislation, changes include:

  • Additional questions in both forms including:
    • Facial recognition questions in the CCTV DPIA Form
    • Data Controller and Data Processor questions in CCTV DPIA Form
    • Additional questions regarding data transfer and security in CCTV DPIA Form
    • Appropriate safeguard questions in International Transfer Form
    • New follow up questions in International Transfer Form
  • Updates to some question wording in both forms
  • Updates to some option wording in both forms
  • Additional guidance added to some questions in CCTV DPIA Form
  • Amends to guidance for some questions in CCTV DPIA Form
  • Updated indicators for screen reader users that links will open in new tabs
  • Updated several links to provide context to screen reader users
  • Amended heading and table structures on pages to improve experience for screen reader users
  • Added skip links to all pages to improve experience for accessible technology users
  • Updated default keyboard focus to support accessible technology users
  • Updated text colours for error messages, info text and some button text to enhance contrast and readability
  • Improvements to date fields, including updates to the error messaging and field labelling e.g. day month year. 
  • Case status colours are now consistent across dashboard graphs and case records.
  • Page titles and navigation titles have been updated to improve clarity.
  • When navigating away from or refreshing an open form a message is now in place to warn of data loss
  • When searching tasks you can now filter by ‘Task Type’ e.g. Full DPIA, Data Ethics Assessment
  • Improved user experience for questions which have selected answer options that are no longer valid to allow for updates
  • Updated name of ‘Data Ethics’ form to ‘Data Ethics Assessment’

Security improvements to storage and retention of inbound email, including updates to encryption, holding location and retention peri

  • Resolved an issue that prevented users from setting ‘Email notification of any visible DPIAs due for review’ without ‘All notifications’ also being selected
  • Resolved an issue that prevented users from assigning tasks to an alternative user when adding multiple tasks via ‘Add Tasks’

May 2022

We’ve amended the ‘Add Task(s)’ workflow so you can add multiple tasks at once. We’ve also streamlined the workflow by removing the status change step, as it’s not applicable in most cases.

To help reduce administrative load, when cloning a case the new case is now automatically linked to the case it was cloned from (and vice versa). We know that the main reason you use the clone feature is for the review process where you would want the original version and the reviewed one to be related to each other. The relation can still be deleted if it’s not appropriate.

  • We’ve added ‘‘Unfiltered”’ to the role  filter in user profiles so all profiles can be viewed at once
  • We’ve added a link to the new format user guide to the Dapian menu
  • Locked tasks can have additional watchers added to support with staff turnover
  • Comments can now be added as part of the bulk reassign process.
  • ‘DPIA Advisory’ description has been updated
  • ‘DPIA Signatory’ description has been updated
  • There is now improved messaging when changes are attempted in a locked case
  • We’ve streamlined the ‘Add task’ workflow 
  • We’ve made several text changes to existing questions in the DPIA Screening Questions and the Full DPIA Form.
  • We’ve made several amends to option wording of questions in the Full DPIA Form.
  • We’ve added guidance to some questions in the Full DPIA Form.
  • We’ve added options to some questions in the Full DPIA Form.
  • We’ve also added the following questions to the full DPIA Form:
    • Are you using a third party Cloud Service Provider?
    • Have the project data flows been completed?
    • What processes are in place to ensure information can be securely deleted/destroyed in relation to both paper and electronic files? 
    • Please explain how and why the data will be used this frequently. 
    • Please give further detail about each activity and why you consider more than one lawful basis applicable
    • If you are relying on consent to process personal data, how will this be collected and what will you do if it is withheld or withdrawn?
    • Is the information you are using of good enough quality for the purposes it is used?
    • What is the process (administrative & technical) that enables necessary data corrections to be made?
    • What is the process (where relevant) for informing the third party recipients of the data if data is corrected or erased?
